Consolidate with one comprehensive safety supplier when:
- You have recurring orders above $3,000 per year
- Gas detection equipment is involved, because calibration and compliance documentation matter
- You need traceable maintenance history for audits or insurance reviews
- Your team values one phone number for support and troubleshooting
Use local or specialized vendors when:
- The purchase is a genuine one-off, like a fire extinguisher for a car
- Fit affects safety and comfort—work boots, harnesses, gloves
- You need it today, not next week
- The item has no certification or documentation requirements
Based on my tracking, the optimal allocation has been roughly 70–80% of budget to the consolidated supplier and 20–30% to local and specialized vendors. That split saved us about $8,400 per year—17% of our budget—while cutting administrative workload significantly.
