How to Buy Safety Equipment Without Wasting Money: A Procurement Manager's 6-Step Checklist

Step 1: Name the hazards before you open a catalog

Walk every work area before you ask for quotes. I do this once a year with our maintenance supervisor, and we look specifically for:

Step 3: Match each extinguisher to the actual fire risk

Standard ABC extinguishers handle a lot, but they don’t handle everything. Have you checked what’s in the kitchen? If your break room has a fryer or any appliance that produces grease-laden vapors, you need a Class K fire extinguisher in that area.

I learned this the hard way. We had a small countertop fryer in our break room for employee events. I knew I should verify the extinguisher rating there. I didn’t. One Friday, oil got too hot and caught fire. The nearest unit was ABC rated, and ABC isn’t designed for cooking oils—it doesn’t cool the oil effectively, so the reflash risk is high. Nobody got hurt, but the cleanup and the repair bill reminded me for weeks.

My answer as a procurement person: don’t assume U.S. rules apply. In Mexico, self-defense sprays are covered under the Ley Federal de Armas de Fuego y Explosivos, the federal law on firearms and explosives. SEDENA, Mexico’s defense department, oversees permits for these items. As of January 2025, the practical guidance we work with is to plan as though sprays are restricted unless legal counsel confirms authorization for a specific traveler and route.

This gets into legal compliance territory, which isn’t my expertise. I’m not a lawyer—I manage budgets. So what do I actually do? I add every destination to our counsel’s review list and ask, in writing, whether the gear our people want to carry is allowed. Step 6: Get every cost assumption in writing

  • Anything described as “free” or “included,” written in plain language

Red flags I watch for

After six years and more than a few spreadsheets, I’ve learned to spot problems before signing:

The biggest red flag is a vendor that promises 100% accident prevention. Nobody can promise that. The right product, installed and maintained correctly, reduces risk. It doesn’t erase it.

Bottom line: buying safety equipment comes down to five boring things. Name the hazard. Calculate the full cost. Match the product to the fire class and the local laws. Get the details in writing. Watch for shortcuts.

Do that, and you’ll still spend money on safety. You just won’t waste it.
